Invoca connects your marketing to your phone conversations using two kinds of numbers: destinations (where you actually receive calls) and promo numbers (what visitors see).
Invoca works by connecting your online marketing and business tools to your phone conversations through the use of phone numbers. You’ll encounter two different terms for these numbers: destinations and promo numbers. A destination is the phone number where your organization actually receives calls — for example, a call center or line of business. Normally, this would be the only number you’d need — like dialing your grandmother’s number directly. But in business, that simple process leaves valuable information behind, which is where promo numbers come in. A potential customer visiting your website or ad doesn’t see your destination number — they see one of your Invoca promo numbers instead. A promo number is a phone number in your Invoca account used for a specific purpose — shown to a single visitor on your website, or used for a single promotion. Many promo numbers all connect back to the same destination, but Invoca shows each one to a different person. Based on which promo number connected the call, you get the caller’s full digital journey alongside the phone call itself.

Destinations and phone call routing

Invoca handles most of this automatically. Your Invoca Tag detects the destination phone numbers on your landing pages, so you don’t need to swap them manually. When you build a call treatment, the “Route to detected destination” option uses that same detected number to route the call back to the original destination. For more control — such as separate call centers for sales and support, or a large multi-location business — Invoca’s destination management gives you tools to set routing and RingPool behavior for each destination. See Manage Phone Numbers via Destinations for the full guide. Invoca also supports more advanced routing: see Call Treatments & IVR to route calls based on time, location, digital journey, or in-menu prompts, and Lookup Table Routing to combine more than one routing factor.

Types of promo numbers, and how to provision them

There are two types of promo numbers: dynamic (RingPool) and static. Dynamic promo numbers are used on landing pages and dynamically inserted in place of your destination by the Invoca Tag. Each is served to only one visitor at a time. Static promo numbers are used anywhere a unique number can’t be dynamically served to each visitor, like display ads or offline promotions. Everyone who sees that promotion sees the same static number. Because dynamic numbers are served one at a time, Invoca can associate each one with the full digital journey of the person who saw it, giving you individualized attribution. RingPools cycle through the numbers associated with a destination or campaign to connect them to callers — see Local RingPools for more. Static (direct) promo numbers aren’t managed automatically — you create them manually, in bulk, or via API, then set their routing options and apply the same Marketing Data value to all calls received on that number. All inbound calls automatically disconnect after three hours; this timeout applies to all accounts and isn’t currently adjustable. To determine why a call disconnected, open a Calls Report, go to Call Details, and check the “Call Info” tab. The “End of Call Reason” field shows whether the caller hung up, the agent disconnected, or the call reached Invoca’s maximum duration. Phone carriers may impose shorter limits, which also appear in this field. During periods like AEP or open enrollment, when calls may run longer than 3 hours, reach out to your account team to request a temporary extension to 8 hours. If you don’t have an account team, contact success@invoca.com. This extension is only available October 1–December 8 each year.

Porting phone numbers into or out of your Invoca account

Invoca supports porting phone numbers into your account — see Porting Numbers: Inbound. If you need those numbers for something else later, you can also port them back out.

Frequently asked questions

Why can’t I obtain a specific area code in the Invoca portal? If a specific area code is unavailable, our carriers have likely exhausted inventory for that area code due to demand. Consider an overlay area code for the same location instead. I’m told you have inventory, but I still can’t get the local number I need. Try adjusting your radius preference up or down to expand or narrow the search area. I want a specific number (vanity number). We don’t currently support vanity numbers for local or toll-free lines. You can purchase one directly from the owning carrier or a vanity provider like NumberBarn.com, then have it ported into Invoca. How can I get 800 numbers? Submit a request to your Customer Success Manager. I’m seeing a higher than expected volume of Pooling Overflow calls — what can I do? Your Customer Success Manager can walk you through RingPool auto-scale options to make sure enough numbers are available for your site traffic. What can be done if I accidentally delete an Invoca number? Depending on how long ago it was deleted, we may be able to recover and reassign the number. Open a support ticket to start the process.
