Save your report and dashboard views, then schedule them for automatic delivery on a recurring cadence.
Saving and scheduling lets you revisit useful report configurations, share insights with other users in your organization, and deliver updated data automatically on a regular cadence.

Saving and scheduling a report

  1. Configure a report’s filters, date range, columns, sorting, and pagination the way you want.
  2. Click Save, enter a name, and click Save again.
  3. Click the Star button for faster access later, from the Starred Items menu.
Access saved reports anytime under Reports > My Reports. Large reports (over 2,000 rows) may take time to process — check the Requested Reports tab for anything still in progress. Before scheduling a report, make sure it uses a relative date range (Yesterday, This Month, and so on) rather than a fixed range, so it doesn’t send the same data every time. Steps:
  1. Under My Reports, select a saved report and click Create Schedule.
  2. In the To field, enter recipients — Invoca users or external guest email addresses. Check Also send to any new users added to Invoca to include future users automatically.
  3. Enter a subject line and optional message body.
  4. Choose a file format (CSV or Excel) and whether to include the report as an attachment (required for guest recipients).
  5. Choose a Daily, Weekly, or Monthly frequency and which day to send it. Scheduled reports send at 3 a.m. Pacific Time.
Each saved report can only have one schedule — to send the same view on a second schedule, duplicate the saved report first.

Saving and scheduling a dashboard

  1. Click Dashboards in the sidebar, then Manage Dashboards, and select the dashboard to schedule.
  2. Set up the dashboard’s data views the way you want them — remember dashboards refresh with current data on each delivery, so set date ranges accordingly.
  3. Click the clock icon in the dashboard header to open the scheduler:
    • Recipients — any email address, including non-Invoca users. Check Send dashboard PDF to users added in the future to include every subsequently added user automatically.
    • Frequency — Daily, Weekly, or Monthly.
    • Schedule — day of week or month; dashboards deliver at 3 a.m. Pacific Time.
    • Email Options — customize the subject line and add a message body.
  4. Click Save.

FAQ

Who can schedule reports and dashboards? Any user can schedule a report to themselves. Manager and Super User-level users can also schedule deliveries to other users or guests. Only the creator of a scheduled report can edit or delete it. Do Filtered Reporting users receive filtered versions? Yes — each Filtered Reporting user receives a version limited to the value they’re mapped to. For example, five region-mapped users scheduled the same report will each receive only their own region’s data. What’s the attachment size limit? Reports over 20MB can’t be attached to email; a download link is still included for recipients with an Invoca account.

Editing a saved or scheduled report

Open the report from My Reports, make your changes, and click Save — this overwrites the previous view and applies to future scheduled deliveries. To change just the schedule, use Actions > Edit Schedule, or Unschedule to stop delivery entirely.

Sharing a saved report

Copy and send the report’s URL to any other user with the appropriate access — no scheduled delivery needed. Recipients only see data and columns their own permissions already allow.
