Smart Alerts notify you, or other stakeholders at your business, when moments you care about happen on calls — configure which signals trigger an alert, who gets notified, and how often.
Before you begin: Viewing and creating Smart Alerts is available to any user with access to your Invoca account’s Settings area. If your account restricts Settings access by role, contact Invoca for help confirming your access level. Each alert links to Invoca, where you can view the recording and transcript of the flagged calls, investigate further, and decide on the best next step. Smart Alerts can notify you about virtually anything happening on calls, as long as you have an Invoca signal (a rule that detects a specific occurrence on a call, such as a caller booking an appointment, mentioning a competitor, or hanging up before speaking with an agent) for it. You set up a Smart Alert by choosing a signal, who receives the alert, and when and how often it fires. Each Smart Alert has the following configuration options:
  • Alert Topics: Get alerts for any signal in your account. Choose whether you want alerts for calls where the signal occurs, or where it doesn’t. For example, if a signal detects whether a caller booked an appointment, you can alert on calls with a booking or on calls without one.
  • Alert Filters: Use other Invoca data to filter your alerts, for example limiting them to calls from a particular marketing campaign, or to a particular agent or location.
  • Alert Frequency: Choose whether the alert fires every time the signal is (or isn’t) detected on a call, or only when it occurs on a specific percentage or number of calls within a time window.
  • Alert Timing: Set the times of day the alert should be active, for example limiting it to business hours or a specific shift. You can pause, resume, or delete an alert at any time.
  • Alert Recipients: Enter the email addresses that should receive each alert. Recipients without an Invoca login can still receive the alert email, but they won’t be able to log in to review the flagged calls directly.

Choosing signals to alert on

Start by reviewing your existing Invoca signals. A good candidate for a Smart Alert is a signal that would prompt an immediate action or response if you knew about it right away. For each signal, ask: if your business knew this signal occurred, or spiked or dropped over a short period, would someone take an immediate action, such as investigating an issue, capitalizing on a trend, coaching an agent, or recognizing an achievement? If the answer is yes, the signal is a good candidate for a Smart Alert. For example, a signal that detects when a caller mentions a competitor by name is a strong Smart Alert candidate. A spike in competitor mentions is something a marketing or sales leader would want to know about right away, rather than discover weeks later in a monthly report.

Accessing Smart Alerts

Go to Settings > Account > Smart Alerts, or go to the Notifications Center, to view and create Smart Alerts in your Invoca account.
