Schedule recurring email updates for a Dashboard, so you can analyze data offline or share it with people who don’t have an Invoca account.
With scheduled Dashboard email updates, you can analyze your data offline and share Dashboards with colleagues, including people who don’t have an Invoca account. Schedule a job for any Dashboard using the Schedule option in its menu. You can add multiple schedules with different configurations for a single Dashboard, but each job is limited to one Dashboard schedule.

Dashboard schedule email format

  • Subject: <Dashboard name> update
  • Body: “Hi <user>, attached is your scheduled update with the latest data from the <Dashboard name> Dashboard.” If you set a description, it appears here, followed by a View Dashboard button.
  • Attachment(s): CSVs (one per table in the Dashboard), or 1 PDF.

Scheduling a Dashboard

  1. Sign in to Invoca from a browser.
  2. Click Insights & Analytics on the top navigation bar.
  3. Select the Dashboard you want to create a schedule for.
  4. Click the More menu icon and select Manage schedules to view all schedules set for the Dashboard.
  5. Click + Schedule to add a new schedule.
  6. Set the values for your schedule:
    • Repeats: rebuild the Dashboard every n minutes, hourly, daily, weekly, or monthly — for some options, you can also choose specific times or days. Hourly and n-minute schedules are based on when you first scheduled the Dashboard; note the Server time zone.
    • Name: a short, descriptive, unique name for this schedule. This doesn’t appear in the schedule email.
    • Description: a description to remind yourself and inform others — appears as “Description: <your content>” in the email.
    • Type:
      • CSV files provide all data for tables, with one attachment per table — use these for further offline analysis.
      • PDF files show all visualizations in the Dashboard, one chart per page; tables show only the first 100 rows — use these to skim the data.
      • Configure layout options lets you specify the Dashboard layout, after choosing CSV or PDF.
    • Gating condition: a statement that returns a single boolean value (true or false). For example, sum (revenue) > 100 is valid, but is_weekend (commit_date) is not, since it returns a result per row. Invoca checks the formula syntax but doesn’t validate that it returns a valid single boolean. At the scheduled time, Invoca runs the gating condition as an Invoca admin user; if it evaluates to true, Invoca processes the Dashboard.     • Recipients: up to 1,000 recipients per job. Add Users or Groups, or use Emails to add recipients who aren’t Invoca users.
  7. Click Schedule to save your configuration.
