# VinSolutions: Integration Guide

> Connect Invoca call data to VinSolutions Customer records automatically, matched by phone number, using the Call Tracking API.

VinSolutions (VS) is a CRM platform used by automotive dealers, resellers, and manufacturers. With this integration enabled, Invoca tracks and analyzes every phone call your business makes and passes that data to VinSolutions — helping teams make better marketing decisions, improve lead follow-up, and increase conversion rates at every dealership.

## How it works

Invoca sends tracked calls to specific VS dealers or retailers. Calls are automatically matched to existing Customer records by the caller's phone number and appended as Call Details. If no match is found, Invoca sends an unmatched Call Details record that lives in its own report (the "Monitored Inbound" tab) rather than linking to existing objects — VS users can manually match or create a new Customer record from there.

Invoca sends calls in near-real time once a call ends. You can delay this if you'd rather give call center agents time to manually create a new Customer record during the call, improving match odds. This integration doesn't update Leads, Opportunities, or Activities directly — those still show up on the Customer record itself.

## Before you begin

* Decide which calls to send: all calls, or only ones meeting a Signal condition. VS instances are typically separated by location or dealer, so make sure your data targets the correct one.
* Find your VS Dealer ID — the Account ID of your VS instance (for example, the ID for your Boston dealership if that's where calls are headed).
* Contact your Invoca Customer Success Manager to add this integration to your account package. Invoca support will create a set of credentials named `VinSolutions - <Customer Name>` for you to select later — authentication is handled through an Invoca Partner Developer Account, so you won't need to generate or enter any credentials yourself.
* Have a VinSolutions administrator enable the integration: log in as an admin, go to Settings > Dealer Settings > Partner Enablement, find Guide by Invoca under Call Tracking Providers, and toggle it on. Accept the confirmation dialog. Be sure to enable Invoca as a Call Tracking Provider, not an Application Service Provider.

## Setting up the integration in Invoca

1. In the sidebar, click **Integrations**, then **Manage Integrations**.
2. Find the VinSolutions CRM tile — it should show "Ready to Integrate." Click to begin.
3. Enter an Invoca Friendly Name specific to the VS instance you're connecting (for example, "VinSolutions — Chicago"), and select `VinSolutions - <Customer Name>` from the Authentication Credentials dropdown. Click Next.
4. Select Call Tracking API as the action type.
5. Configure the action:
   * **Name** — describe what this action sends (for example, "VinSolutions — all calls" or "VinSolutions — Qualified Lead").
   * **Profile** — select the Profile matching the line of business or site you want to send, if applicable.
   * **Triggered By** — choose "all calls," or filter to a specific Signal.
   * **Dealer ID** — found in your VS instance, this routes calls to the correct dealer.
6. Repeat for each additional transaction type you want to send.

## Validate your integration

1. In Invoca, click **Integrations**, then **Manage Integrations**, then the VinSolutions CRM tile, then the name of your Action.
2. Review the Delivery Details chart, showing successes (green) and errors (red) by day for the last 30 days. Click Delivery History for individual requests and responses.

## FAQs

**How does VinSolutions merge Call Detail records to existing Customers?** By phone number. If no match is found, the Call Detail record isn't linked to any existing records and stays in the "Monitored Inbound" tab.

**How do I edit my Action configuration?** Open the VinSolutions CRM tile, click into an Action, and select "View/Edit Action Details."

**How is data sent to VinSolutions?** Invoca uses the Call Tracking API, streaming data immediately after each call ends (not batched).

**What data is sent to VinSolutions?** utm\_source (or another single UTM field of your choice), call duration, the call recording link, Caller ID (used for matching), the destination phone number, the End of Call Reason, and a list of Signal names applied to the call.
