# Signal File Uploads: Conversion Importing

> Import Signal, Marketing Data, and revenue results from a third-party system by uploading a spreadsheet matched to your Invoca call records.

Signals are used to classify, tag, and segment your calls. While you can use Invoca to analyze your calls for Signal insights, you can also import that data from an external system, such as your call center software or CRM.

## Step 1: Gather your source data

Export your call data from your third-party system into a CSV or spreadsheet file. Since this data needs to connect to your call records in Invoca, make sure you're only uploading data about calls that Invoca drove, and that the file size is under 50MB. If you need help exporting this data, refer to your third-party system's documentation.

You can use Signal File Upload both to add new Signal, Marketing Data, and revenue values to your calls, and to correct existing data. Depending on your account's Signal version, you may need to do some of these actions in multiple steps.

## Step 2: Download your Signal File Upload template

1. Log in to your Invoca account. In the sidebar menu, click **Signal**, then select **Manage Signals**.
2. In the Upload Signal Records tile, click **Upload**.
3. Click **Download Template**. If your account uses a more recent version of Signals, this downloads a single spreadsheet (.xlsx) formatted to help you upload your call records accurately. If your account uses an older version, you'll first choose whether you're uploading call records with both Signals **and** revenue amounts attached, or **only** Signals.

If you also apply Signals with revenue using Invoca's Signal API on the same call, those updates are separate — revenue applied by one source won't replace revenue applied by the other (even with the same `partner_unique_id`). Revenue applied via both methods aggregates.

## Step 3: Format your Signal insights

Open the template spreadsheet. Note the first three columns — `transaction_id`, `call_record_id`, and `call_start_time`. These are unique identifiers used to match the call record from your third-party system with the associated record in your Invoca account. You only need to fill in one of these columns per call record:

* **transaction\_id:** the ID of the transaction (call leg) being reported.
* **call\_record\_id:** the ID of the complete call being reported.
* **call\_start\_time:** doesn't need to be exact, since clocks aren't perfectly synchronized — Invoca pairs this record with the closest match in your account.

Of the three identifier columns, `call_start_time` is the least precise. If you fill in more than one, Invoca matches records in this order: `transaction_id`, then `call_record_id`, then `call_start_time`. If you only fill in `call_start_time`, we strongly recommend also filling in either `calling_phone_number` or `duration_in_seconds` for more precise records.

How you fill in Signal insights depends on which template you downloaded:

**If only one template was available:**

* Each row updates one call record with values for each Signal in your account. The template contains a column named for each Signal.
* To only report the result of the Signal event, enter it as "true"/"false," "yes"/"no," or "1"/"0."
* To also report associated revenue, add a number after the Signal value separated by a hyphen — for example, "true - 5.0," "false," "false - 0.00," "T - 10.00." If correcting revenue for a previously reported call, each new associated amount replaces any previous value.

**"Signals only" template:**

* The template contains a column named for each Signal. Enter the result as "true"/"false," "yes"/"no," or "1"/"0."
* Each row updates one call record with values for each Signal.

**"Signals and sale amounts" template:**

* Each row updates a single Signal value from a single call.
* The text in the `signal_name` column must match the name of your Signal in Invoca (not case-sensitive). If it doesn't match an existing Signal, a new one is created using that name.
* Enter the result in the `value` column — "true"/"false," "yes"/"no," or "1"/"0."
* In the `sale_amount` column, enter the revenue this Signal represented for the call. Sale amounts are added together across all Signals reported for a single call.
* To report more than one Signal from a single call, create a new row for the same call using the same unique identifier, and enter a different Signal name and value.

Save the spreadsheet as a Microsoft Excel file or .csv file.

## Step 4: Upload your Signal insights back into your Invoca account

1. Return to your Invoca browser window. In the Upload New File menu, click the cloud icon and select your saved spreadsheet.
2. Select your time zone from the dropdown menu, then click **Upload and Preview**.
3. Invoca checks your spreadsheet for errors. If there are errors, see [Signal File Uploads: Formatting & Data Prep](/s/article/signal-file-uploads-formatting-data-prep). Otherwise, click **Proceed** to apply your uploaded Signal records.

Once you click Proceed, a status bar shows upload progress. When processing finishes, you can view the results in the upload history table.

## Automating Signal file imports

If your Signal file upload process is working and you'd like to reduce the need to log in and manually upload files, Invoca offers a service to automate imports. Files must be uploaded to a customer-hosted server, or Invoca can provide a folder on a third-party hosting platform as a courtesy.

This service scans that location every 6 hours, picks up new files, and securely imports them for processing. All file setup and formatting requirements are the same as for uploading through the Invoca network UI.

Reach out to your account team or [support@invoca.com](mailto:support@invoca.com) to learn more about this option.

**What is required?**

* Technical ability on your team to create and upload files to a remote server.
* Location and credentials to allow Invoca to access the remote location (or Invoca will set this up and provide the location and credentials to you).
* A designated active Network Super User associated with the automated service — this user receives any failure or error emails, so the address must be monitored.

**Can Invoca provide the IP addresses associated with the automated import?** No — due to the nature of Invoca's infrastructure, IP addresses can't be provided for allow-listing.

## Troubleshooting errors in your Signal file upload

If your Signal insights don't upload correctly on the first try, that's normal. If errors result, you'll see an error message with a link to download the error results, showing which rows caused the error and how to correct them.

Some upload errors happen because the data doesn't match a format Invoca can read. See [Signal File Uploads: Formatting & Data Prep](/s/article/signal-file-uploads-formatting-data-prep) for help resolving these.

You can also audit your Signal File Upload data in your Transactions Report to confirm everything's working smoothly. If you need more help troubleshooting, reach out to your account team or [support@invoca.com](mailto:support@invoca.com).
