# Setting Up Filtered Reporting and Data Access Control

> Assign the Filtered Reporting role to limit which calls and reporting data a user can see, based on a Marketing Data field you choose.

If you need to invite new users but want to limit how much reporting data they can see, assign them the **Filtered Reporting** role. This is especially useful if:

* You manage more than one line of business, such as a franchise or multi-location organization, and want users to see only calls relevant to them
* Sales agents log in to review their own calls, and shouldn't hear their coworkers' calls
* You work with an agency and want them limited to calls they're driving into your contact center
* You have a regional hierarchy and want each region's users limited to their own calls

To use Filtered Reporting, you'll first set up a Marketing Data category to use as your filtering criteria. Use only the most reliable data available for this — if a call isn't tagged with the right value, the Filtered Reporting user won't see it. These users otherwise have permissions similar to the Reporting role.

**Before you begin:** Filtered Reporting requires the ability to create custom Marketing Data fields. If your account doesn't have this feature yet, reach out to your account team or [support@invoca.com](mailto:support@invoca.com).

## Step 1: Capture your filtering criteria

Decide what criteria to filter reporting access by — common examples are line of business or call location. If you already collect this data via a Marketing Data field, skip to Step 2.

1. Log in as a Manager-level user or higher and create a custom Marketing Data field with:
   * **Type:** Category
   * **API Name:** The data parameter you want
   * **Friendly Name:** How the data should appear in reports
   * **List of values** (optional): Enter known values now, such as a set list of stores or regions, to save time in Step 2
   * **Attribution Type:** "Last Touch" is recommended in most cases
2. Associate values for your new field with your Invoca phone calls, either by capturing the data from callers' browser sessions (URL parameter, cookie, or JavaScript data layer) via your Invoca tag, or by applying the same value to all calls routed through a given campaign.

## Step 2: Add your Filtered Reporting users

**Adding users one by one:**

1. Log in to your Invoca account. In the sidebar menu, click **Settings**.
2. In the Network section, select the account where you want to create the user, then select **Users**.
3. In the Invite New User tile, enter the new user's email address.
4. In the Role dropdown, select **Filtered Reporting**, then click **+ Add New**.
5. In the Marketing Data Category dropdown, select the field you created in Step 1. In the Marketing Data Values field, select the values this user should be able to see.
6. To add more filtering criteria, click **+ Add New** again. Adding a different category requires calls to match *all* specified values; adding another value for the *same* category lets the user see calls matching *either* value.
7. Click **Save** when you're finished.

**Adding many users at once via spreadsheet:**

1. Log in to your Invoca account. In the sidebar menu, click **Settings**.
2. Select the account where you want to create the users, then select **Users**.
3. Click the options menu (three vertical dots) next to **+ New**, select **Import Users**, then **Download Template**.
4. Open the template. For each user, add a row with their email address and role (Filtered).
5. Add a column for each filtering criterion, using the partner (API) name you chose in Step 1 as the column header, and enter each user's values in that column.
6. Save the file, return to Invoca, and click the cloud icon to upload it.

## FAQs and troubleshooting

* Filtered Reporting users can only be created within a Network-level Invoca account, not at the Advertiser or Affiliate level.
* You can also use these same steps to change an existing user's role to Filtered Reporting and add their filtering criteria.
